WP6 – Project Management and Coordination

Workpackages

Though not a research WP, WP6 is vital for impact. It ensures smooth collaboration across a diverse international consortium, enables effective communication, and guarantees that scientific outputs are high-quality, well-documented, and openly shared — all crucial for long-term uptake and influence.

Goal: Keep everything running smoothly across the 17 partners in 9 countries.

How:

  • Oversee planning, communication, finances, and reporting.
  • Monitor progress and risks.
  • Make sure data is handled responsibly and shared openly.

Why: A complex international project needs good coordination to succeed — and to ensure transparency and impact.

Project Management and Coordination

Key Technical activities:

  1. Strategic Governance and Decision-Making (Task 6.1)
    Implement a structured project governance framework comprising:
  • A General Assembly (GA) for consortium-wide decisions
  • A Steering Board (SB) with WP leaders for quarterly operational oversight
  • An Advisory Board (AB) of external experts for scientific and strategic guidance
    The governance structure ensures alignment with project goals and stakeholder expectations.
  • Administrative, Contractual and Financial Management (Task 6.2)
    Manage day-to-day activities, including:
    • Internal communication, meeting logistics, and reporting
    • Financial tracking and budget control
    • Quality assurance and risk monitoring
    • Maintenance of a SharePoint-based IT infrastructure for collaboration
      A risk register and quarterly status reviews ensure early detection and mitigation of issues.
  • Data Management (Task 6.3)
    A robust Data Management Plan (DMP) will be developed and periodically updated in line with FAIR principles and EU open science requirements. This includes:
    • Guidelines for handling, storing, and sharing scientific and non-scientific data
    • Integration with platforms like the HALO database and ZENODO
    • Awareness-building within the consortium on data governance practices

    Partners involved: DLR (Lead), PNO Innovation Germany (PNO, fka ARTTIC), All project partners contribute as needed to reporting and coordination activities.
